Privacy Policy
How Family File collects, uses, and protects your information.
Last updated: October 5, 2026
Overview
Family File is a place to store the important details about your home, health, and affairs, and to share exactly the right pieces with the people you trust, only when they actually need them. This policy explains what information we collect across our website and app, how we use it, and the choices you have. It applies whether you're browsing familyfile.life or using the Family File app itself.
Information We Collect
We collect information in a few different ways:
- Account information. When you create a Family File account, we collect your name and email address, and use them to identify you and secure your account.
- Information you store. Whatever you choose to add to your file — details about your home, health, finances, and other affairs — is stored so it's ready when a contact needs it.
- Contact information. If you add people you trust, we store the details you provide about them (such as name and email or phone number) so we can reach them when a situation you've set up is confirmed.
- Contact form submissions. If you reach out through our Contact page, we collect your name, email address, and message so we can respond.
- Basic technical information. Like most websites, our hosting provider automatically logs standard information such as IP address, browser type, and pages visited, for security and reliability purposes.
How We Use Your Information
We use your information to:
- Provide and maintain your Family File account and the information you've stored in it
- Notify your contacts and give them access, but only once the situation you've configured — Heading Out, Hospital, or Heaven — is confirmed
- Respond to support requests and questions
- Keep the service secure and working reliably
We do not use your information for advertising, and we do not sell your information to third parties.
Our website uses Google Analytics to understand how visitors find and use it, such as which pages are viewed. This relies on cookies and collects usage information like your approximate location and device type. It does not have access to anything stored in your Family File. If you're visiting from the EU, UK or EEA, we ask for your consent before loading Google Analytics and it isn't loaded if you decline. Elsewhere, Google Analytics runs by default and you can opt out at any time. You can change your choice here.
How Your Information Is Shared
The information in your file is private by default and visible only to you. It's shared with a contact only when the specific situation you've assigned to them is confirmed — never before, and never with anyone you haven't chosen. Contacts don't need a Family File account to view what you've shared with them; they receive a private, limited-access link.
We share information with a small number of service providers who help us run Family File — for example, hosting our website and app, and processing messages sent through our contact form. These providers only access information as needed to perform their services and aren't permitted to use it for any other purpose. We may also disclose information if required to do so by law.
Data Security
Your information is encrypted and access is restricted to you and the contacts you've explicitly authorized for a confirmed situation. We use industry-standard safeguards to protect your data, but no method of storage or transmission is completely infallible, so we can't guarantee absolute security.
Data Retention
We keep your information for as long as your account is active. If you close your account, we delete your stored information within a reasonable period, except where we're required to retain it for legal or security reasons.
Your Choices
You're in control of what you store in Family File and who you share it with. You can update or remove information, change your contacts, or delete your account at any time from within the app. If you have questions about your data or want help with any of this, contact us using the details below.
Children's Privacy
Family File is intended for adults planning ahead for their families. It isn't directed at children, and we don't knowingly collect information from anyone under 16.
Changes to This Policy
We may update this policy from time to time as Family File evolves. If we make material changes, we'll update the "Last updated" date above. We encourage you to review this page periodically.
